How does a managed backup service work?
A managed backup service covers the full backup lifecycle, from defining what needs to be protected through to ongoing management and recovery.
Step 1: Define the requirements
The provider works with the organisation to understand the existing backup environment and identify the systems, applications and data that need protection and the level of protection they require.
This includes agreeing:
- Recovery point objectives (RPOs): How much recent data the organisation can afford to lose
- Recovery time objectives (RTOs): How quickly the data or service needs to be restored
- Retention periods: How long different backup copies must be kept
- Recovery priorities: Which systems and data should be restored first
In some cases, where recovery requirements are very demanding, backup may need to be supported by a disaster recovery capability.
Step 2: Design the backup service
The managed service provider works with the organisation to design the backup architecture needed to meet the recovery requirements.
The design sets out how often backups run, where copies are stored, how long they are retained and who can access them. It should also assess the level of separation and protection needed between live systems and backup copies, including whether immutable storage or air-gapped copies are appropriate.
Step 3: Configure and onboard the service
The provider configures the backup platform in line with the agreed design, including policies, schedules, retention, storage, monitoring and reporting.
Onboarding should confirm that the workloads in scope are connected correctly, backup jobs are completing as expected and the agreed recovery points are being created.
It should also establish alerting, escalation routes and reporting so there is a clear process for dealing with failures once the service moves into day-to-day operation.
Where an existing backup environment is brought under management, the transition may involve taking on legacy technologies or migrating to a different platform where required.
Step 4: Monitor and manage backup operations
Once the service is live, the provider proactively monitors backup jobs, platform health, storage capacity and protection coverage.
This is a defining feature of a managed service. Automated monitoring can flag that something has gone wrong; proactive management means someone reviews the issue, investigates the cause, takes action and confirms that protection has resumed.
Failures can result from changed credentials, network problems, software updates, configuration changes or insufficient storage capacity. When a backup fails, the provider resolves issues within the backup service and reruns jobs where needed. If the cause sits within customer-owned infrastructure or applications, the provider coordinates with the customer’s technical team and follows the issue through until backup protection has been restored.
The provider should also review capacity, recurring failures, retention and coverage as the environment changes. This helps make sure new workloads are protected and existing policies remain suitable as data volumes and recovery requirements change.
Step 5: Test and support recovery
A managed service should include regular recovery testing against the systems and recovery requirements that matter to the organisation. Depending on the workload, this may involve restoring files, databases, applications or complete systems. The results should be recorded, any problems investigated and corrective action taken.
When a real recovery is required, the provider helps identify the appropriate recovery point and carries out or supports the restore. This is where experience matters. A provider that manages recoveries regularly can bring established processes and experienced engineers to an incident where time is limited and the consequences of mistakes are high.
